About Role

Customer Services is a strategic partner to both our customers and businesses and focus on creating exceptional customer experiences and generates revenue growth.

Main responsibilities will include:


  • Order processing (starting from receiving purchase order from client), cooperation with OM / OFCC team on order-entry into SAP S/4 system, e-mail „Order-acknowledgement to customer, check shipment status & Invoice status )

  • Backorder monitoring (keep customer informed, finding product alternatives with sales representatives)

  • Manual product allocation (cooperation with planners in Belgium and marketing department)

  • Product returns (Product returns to BD office from customer, Product control, RGA entry into SAP S/4 system & physical product return to EDC Belgium OLEN)

  • Processing of credit notes and corrective invoices

  • Processing of product samples to sales team & customers

  • Processing of service complaints from customers

  • Daily contact with OLEN EDC Supply Chain Coordinators regarding product availability and stock status.

  • Genesys system - Daily phone/email contact with customers and sales teams (invoices, shipment status, backorders, couriers status, etc)

  • Cooperation with Order Fulfilment Team, PMDO, CSC, CCO leader, Sales, Finance, Regulatory, Quality teams on different projects.


  • Administration of Loan equipment contracts in ServiceMax system

  • Workorders in ServiceMax system

  • Communication with local / EU Service Provider and with customers

  • Safety inspection check ( BTK )

  • Spare parts from OLEN EDC to CZ.Price Quotations to customers

  • Customs clearance process

  • Shipment of Instruments to the UK

About you:

  • 2-3 years' experience in customer service or a similar role

  • Fluent Czech and English is a must

  • Ability to multi-task, prioritize and manage time effectively

  • Aspiration to learn about product portfolio, customers, market, work procedures and ability to adapt to changes

  • Good organizational and planning skills as well as high ethical standards

  • Ability to take initiative with a ‘can do’ attitude

  • Results-orientated and able to work both independently and within a team environment

  • Demonstrated aptitude for problem-solving; ability to determine solutions

  • Understanding for customer´s requirements

  • Good knowledge of standard MS software (MS-Office 365), knowledge of JD Edwards would be an advantage
