Based in Stockholm, Sweden the Local Payroll Compliance Advisor is responsible to provide first class operation support and service to payroll by ensuring the right information is provided through all transactional services are done accurately in a timely manner with minimal supervision. The Payroll Specialist / Advisor is also required to work effectively with payroll shared service team to ensure Payroll Shared service operation is running smoothly by extending assistance support on local market requirements. Provide guidance and support to payroll team supporting Nordic countries to ensure they can complete all aspect of back-end payroll processing queries raised by HR Community and Associates.

Reporting to the HR Manager, Nordics and indirectly to the the local Finance Manager, the incumbent will act as the payroll expert for Nordics with good knowledge of local legislation, processes and policies.

In this role you will be responsible for:

RESPONSIBILITIES

  • Ensure all queries and case have the right local expertise and are reviewed in a timely manner and assist on the case whenever PSC need support.
  • Assist in all aspects of payroll delivery including planning and coordination of local market requirements.
  • Provide local expertise and support of all urgent case related to payroll.
  • Act as a back up to the other PSC to deliver and manage customer's expectation when required.
  • Partner with payroll provider to ensure data provided is accurate and in line with the requirement local market and ASC to process payments and/or deductions correctly.
  • Works with Finance to understand their needs and help standardize and develop their processes.
  • Establish "Best Practice" by benchmarking our process and performance.
  • Lead the annual compliance cycle and work with the Total Reward team and Payroll Service Centre to ensure that Payroll compliance obligations are fulfilled correctly.
  • Partner with the HR Manager to drive Associate and Manager empowerment on roles & responsibilities (promotions, starters, leavers & benefits).
  • Own and lead process improvement activities on the identification of payroll risks.
  • Provide support to implement changes and improvement programs initiatives.
  • Formulate recommendations in order to reduce workload, simplify tasks and increasing compliance.
  • Ensure all work documentation and work processes are updated.
  • Perform local audit requirements linked to Benefits taxation to ensure each country remains compliant with local law.

Knowledge and compliance expertise:

  • Expert in payroll and able to provide guidance to PCS by support them promptly in a professional manner.
  • Annual process owner for local market labor law regulations.
  • Take the lead on compliance matters when there is a change in legislation and co-ordinate across the different sites (holiday accrual, benefit taxation, company car compliance & tax)
  • Identify and resolve operational issues escalated from PCS by discussing with relevant parties.
  • Highlight unsolved issues with the PCS for discussion and solution.
  • Participate in all compliance audits and respond to audit queries.

Internal and external stakeholder interactions:

  • Manage customer expectations within the payroll scope of delivery by attending and processing enquiries and request via the define processes and utilizing problem solving skills for resolution.
  • Work in collaboration with other team members to establish and maintain a confidential and sensitive work environment.
  • Assist PSC in handling issues related to local labor law and process.
  • Work closely with local payroll provider in order to meet our department objectives and improve the customer experience.
  • Regular partnership with local Finance team
  • Facilitate discussion with PSC and payroll provider when required if there is any change to the policy or legislative which has impact process for payroll.

To be successful in this role, you should be able to demonstrate:

EXPERIENCE & EDUCATION

  • Bachelor's degree in Human Resources, Business Administration or a Finance related field.
  • A minimum of 3 years Nordic payroll experience within complex multinational environments.

KNOWLEDGE & SKILLS

  • High level of written and oral communication skills to interact with different stakeholders.
  • Fluency in English and Swedish
  • Demonstrate ability to oversee external Payroll Providers.
  • Accustomed at working at Shared Service Center set ups.
  • Good understanding of Employee Relation and Nordic legislation.
  • Excellent numerical and analytical skills.
  • Resilience and problem solving mindset.
