Reporting to the Scientific Affairs Director BDB EME, as a Medical & Scientific Affairs Support, you will be part of this team of BD Biosciences. Within this role, you will provide full administrative support to the MSA department as well as assist in a variety of more scientific tasks. You will interact with many partners in Europe/EMA and the US. We are looking for a highly organized individual to be able to assist in the following processes:
Job responsibilities include but are not limited to the following:
Scheduling and calendaring calls and consultations for the MSA team, manage multiple calendars.
Processing of internal compliance submissions for Scientific Exchange activities such as Health Care Professional advisory boards and key opinion leader meetings (Service NOW)
Take and prepare minutes of any meetings, as deemed necessary.
Organization and coordination internal and external customer meetings such as key opinion leader and advisory board meetings in terms of managing the scheduling, invitations, general meeting communications, meeting logistics, and post-event activities.
Managing purchase orders and express shipments
Processing and tracking of department invoices (BuySmart and ARAVO platform, e.g. setting up Consultants as NO PO Payers in ARAVO; managing payment of patent prosecution and maintenance cost invoices)
Scheduling of business travel and accommodations, and reconciles and maintains expense reports
Maintain filing system (general and technical).
We are looking for a person with a minimum of 3 years of administrative or project coordinator experience and fluency in English (spoken and written).
Additionally, we would be looking at:
Bachelor in business administration
Completes work assignments independently on own with minimal supervision/guidance and limited discretion.
Ability to manage priorities with eye for detail where appropriate
Good communication skills, both verbally and written
Ability to learn quickly and manage workload in a cooperative and demanding environment.
Strong interpersonal skills (great teammate)
Be of an investigative nature, using initiative to explore
High level of integrity, commitment and ethics
Technology adept and well versed in office productivity applications
Experience in the medical device or pharmaceutical industry is a plus
